What information do we collect and why?

When creating a membership or booking services at Sauna House, we process the following information:

  • Name and surname
  • Sex
  • Address and city
  • Telephone number
  • Email address
  • Date of birth

  • Payment information (for membership, membership cards and events)

  • Booking and participation information for sauna sessions and events

  • Marketing preferences (newsletter, SMS)

  • IP address when using the booking system or website

Purpose:

  • To manage your membership or bookings

  • To provide the best possible service, based on previous purchases and bookings

  • To send reminders, booking confirmations and important messages

  • To send newsletters and offers (if you have consented)

  • To comply with accounting obligations

  • For statistics and development of our services

Categories of recipients
We disclose or transfer personal data to the following categories of recipients:

  • Other companies in the Sauna House group as part of marketing initiatives in compliance with applicable regulations.
  • Our data processors on the basis of data processing agreements

Security

We protect your data through access control, encryption and secure systems. Our partners are subject to the same data security requirements. Customer records and other sensitive data are encrypted with SSL and SSL / HTTPS security is always used for data transfer.

Storage period

  • Information about your purchases and bookings is stored for up to 5 years in accordance with the Danish Accounting Act.

  • Marketing information is deleted when you unsubscribe from the newsletter/SMS or withdraw your consent.

  • Other customer information is deleted on an ongoing basis when it is no longer relevant.

Right to see information (right of access): You have the right to gain access to the information we process about you, as well as a number of additional information.

  • Right to rectification (correction): If you believe that the personal data we process about you is inaccurate, you have the right to have it corrected. You must contact us and inform us of the inaccuracies and how they can be corrected. In all cases, we must decide whether we believe your request is justified. When you contact us with a request to have your personal data corrected or deleted, we will check whether the conditions are met and, if so, carry out the changes or deletion as soon as possible.


  • Right to erasure: We generally delete personal data when it is no longer necessary. In special cases, you have the right to have specific information about you deleted before the time of our general deletion. This applies, for example, if you withdraw your consent and we have no other basis for processing the information. If you believe that your data is no longer necessary in relation to the purpose for which we collected it, you can ask for it to be deleted. You can also contact us if you believe that your personal data is being processed in violation of the law or other legal obligations.


  • Right to restriction of processing: If you dispute information that we have recorded or otherwise process, you may request that we restrict the processing of the information until we have had the opportunity to determine whether the information is correct. You may also request restriction instead of deletion if you believe that our processing of the information is unlawful, or if you believe that we no longer need the information, or if you believe that your legitimate interests override the legitimate interests of the data controller. If you are successful in your request to restrict our processing, we may in future only process the information with your consent, or for the establishment, exercise or defence of legal claims, or to protect a person or important public interests.


  • Right to transmit information (data portability): You have the right to receive personal data that you have provided to us and that we have collected about you from other actors based on your consent. If we process data about you as part of a contract to which you are a party, you can also have your data sent to you. You also have the right to transfer this personal data to another service provider. You can also ask us to have the information sent directly from the data controller to another authority or company. If you wish to exercise your right to data portability, you will receive your personal data from us in a commonly used and machine-readable format.


  • Right to object: You have the right to object to our processing of information about you. You can also object to our use or disclosure of your data for marketing purposes. You can use the contact details above to submit an objection. If your objection is justified, we will ensure that we cease processing the information.
  • Right to receive information about new purposes: If we want to use information about you for a purpose other than the purposes we have previously disclosed to you, e.g. in this privacy policy, you have the right to receive information about this before we further process the information for the other purpose.


  • Right to withdraw your consent: If our processing of your information is based on your consent, you may withdraw your consent at any time. If you withdraw your consent, we may not process the information in the future. Withdrawal of consent does not affect the lawfulness of the processing that took place prior to the withdrawal. If we have a legal basis for processing other than consent for an independent purpose - for example, storing information for compliance with accounting regulations - this processing may continue to take place.
